Job Description
Org. Setting and Reporting
The International Court of Justice is the principal judicial organ of the United Nations. It is composed of 15 judges, elected by the General Assembly and the Security Council. The Court has a twofold role: first, to settle, in accordance with international law, through judgments which have binding force and are without appeal for the parties concerned, legal disputes submitted to it by States; and, second, to give advisory opinions on legal questions referred to it by duly authorized United Nations organs and specialized agencies. The Court is the only principal organ of the United Nations not serviced by the Secretariat. The Court has its own administration, the Registry, which provides judicial support to the Court and acts as a permanent administrative organ. The Registry is headed by a Registrar, elected by the Court. The Registry of the International Court of Justice is seeking to create a roster of suitable candidates to serve, on a temporary basis, as Executive Assistant to Judges, in particular to temporarily replace, sometimes at short notice, staff members on different types of leave, such as parental leave or sick leave. The incumbent reports directly to a Member of the Court. For administrative purposes, the incumbent also reports to the Co-ordinator of the Judges’ Executive Assistants.
Responsibilities
Under the direct supervision of a Member of the Court, the incumbent will perform the following duties: - Provide high-level administrative and secretarial assistance to a Member of the Court. - Perform, under minimal supervision, a wide range of office management and administrative support functions. - Screen and prioritize incoming correspondence; assemble relevant background documents and references; identify issues requiring the judge's attention; monitor and follow up on actions to be taken. - Maintain the judge's agenda and assist in managing priorities. - Serve as a communication link between the judge and other Court personnel; serve as a key liaison with the diplomatic corps, international organizations, Dutch local authorities and judicial and academic institutions. - Keep the judge's team informed by conveying directives, status updates and other relevant information. - Draft various correspondence in English and in French. - Proofread, edit and format documents following the Court's formatting guidelines. - Manage files and related databases on confidential judicial matters and non judicial matters. - Prepare, process and classify documents, often of a confidential nature. - Handle processes for leave and attendance records, travel arrangements, visa applications, authorizations, expense reports, conference room bookings. - Occasionally greet and escort high-ranking officials and visitors, and organize group visits and receptions. - Perform other related duties, as assigned.
